Running a freelance writing business can be difficult. In order to make it successful, you obviously need to make more money than you spend-hopefully much more. Basically there are two ways to increase your profit margin; you can either bring more money in or cut your expenses. A combination of the two would lead to even more profit, which is why you went into business in the first place. There may be a limit on how much money you can earn, but the following tips may help you lower your business operation costs.

Update Your Office Equipment

Although it may cost you money immediately, if you update your office equipment you will ultimately save money. The old maxim 'it takes money to make money' is true. If you update your computer system, the newer, faster equipment will save your office staff a lot of time. They should be able to do their jobs more efficiently because they won't have to wait for their computers to download information, or have outdated printers lock up on them. Modernizing your telephone system will allow your employees to perform their functions quicker and having a state-of-the-art voice mail system will improve overall performance.

Cut Office Supply Costs

Another way that a modern computer system can save money for your freelance writing business is by eliminating the need for paper printouts of your files. Instead of taking up a ton of space with file cabinets, you can install a central computer hub that will store all your information, which can be hardwired or wirelessly linked to your employee's desktop computers. All of the company's information will be instantly accessible from any terminal, which will save time when looking for a particular file. You will also save money on ink and paper. If you do as much business as possible via fax and email, you can also save money on stamps and envelopes. Keep in mind that you should have a way to back up the information in case of a fire or other disaster, such as a computer crash. It wouldn't hurt to have two backups: one on-sight and the other offsite, so if there is a fire your records will still be accessible.

Advertising

The use of technology can also help you save money on advertising. Instead of the old standby newspaper and magazine ads, which still have value, but cost a lot of money, you can make use of the Internet by advertising via social media, such as Facebook or Twitter. Social media has proven to be useful for businesses, and all it costs is high-speed Internet access. You should also have an Internet website to advertise your business. Hiring a web designer and social media specialist may end up saving you money over the long haul.

Training Seminars

A well-trained employee is a more productive employee. If you have regular training seminars for them, your employees will be able to perform their jobs more efficiently, which will save you money in the long run. Hiring a consultant to conduct a seminar may cost a bit of money, but the results should be worth it. You can save even more money if you train a staff member to conduct the seminars in-house.

Reevaluate Your Business Insurance

Insurance costs are among the freelance writing business expenses that aren't feasible to do without. However, there are ways to save money on business insurance. Contact your insurance agent and let them know you're looking for ways to save on operating costs. If you've been with the company for a long period of time, they may be willing to give you a discount. You can also take out higher deductibles, which will lower your premiums. Make sure your policy reflects your present business operation. If you've made changes to how your business is run, the product you make, or the number of employees you have, your policy should be reevaluated to reflect that. You can safely run your freelance writing business without high insurance costs.
