You are hosting a conference and want to get it absolutely right, but where to start? Your venue is vital, so do take some care in choosing the right one for your requirements. Depending on what sort of conference you are hosting, you will need to determine what equipment you will need. However, there are a few items that will enhance your conference such as a digital whiteboard, a visual presenter, computers, screens, microphones and sound system. Your chosen venue should also be able to supply comfortable seating for delegates, tables, lecterns, electrical points, broadband and refreshments, plus any other requirements you may have.
Visit all the venues that meet your criteria to get a feel for each one. Speak to staff, review access and exits, find out where the rest rooms are and visit them to see what they are like. Find out what catering and refreshment facilities are available and how they match your expectations. Find out whether you need to find your own staff or will the venue supply staff.
Organising a conference is a huge undertaking and requires many weeks of careful planning and coordination. Every last detail must be taken care of and you must leave nothing to chance. Consider transport links and parking as well, delegates will arrive by car and public transport, so make it as easy as possible for them. Ensure that there is adequate signage in and around the venue so that delegates and speakers can easily find their way around. A reception desk with friendly knowledgeable staff is vital to give delegates information, conference literature and if they don't already have one, an itinerary should be available from the receptionist. Your itinerary for the day should be flowing with plenty of breaks. Speakers should be chosen and given a running order to complement each other.
It is a good idea to send an information pack to each delegate before the conference. This pack should contain directions to the conference venue, car pass (if required), itinerary, conference literature, delegate badge and any other relevant items.
Make sure refreshments are available either self service or from conference staff. Lunch should be available either through the venue cafeteria or from your own caterers. Find out about any special dietary requirements well in advance so that they can be catered for.
When planning your conference, set a sensible budget and stick to it. It is very easy to get carried away and overspend so do make lists with approximate costs until you are given actual costs from the venues, then you will have a firm costing. If you are using outside caterers, agree costs per head and choose a suitable menu, don't forget to ask if they will supply waiting staff and have that included in the costs. There will inevitably be costs that you have not factored in, so allow a little extra in your budget for these unforeseen extras.
If you spend enough time preparing and planning your conference, it should be a huge success, just remember it is that attention to detail that makes for a smooth and successful conference.
